Background: A social group (calling themselves an Art Group) uses the Historical Society meeting room. When they first started this - over 30 years ago - some of them were members - now none of them are. They pay no rent for use of the room. One of their group has been abusive to our volunteer workers and other visitors. The board wants them gone...and I'd mentioned I like playing with words so I was assigned to draft a letter. How can I improve on the following to maybe make it less abrupt.....
"Due to changing times and logistics, the (Historical Society) has been forced to take a hard look at activities taking place at (the ranch).
While we acknowledge and respect our long time association with (art group) we have reluctantly decided that we will be unable to host your meetings beyond December 2013.
